Governing your participation as a Kalam Foundation volunteer

1 Acceptance of Terms

By registering on the Kalam Volunteer Portal, you confirm that you have read, understood, and agreed to these Terms & Conditions in full. These terms form a binding agreement between you and Kalam Foundation. If you do not agree to any part of these terms, you must not register or use this platform.

2 Eligibility

To register as a volunteer with Kalam Foundation, you must:

  • Be at least 16 years of age at the time of registration.
  • Provide accurate, truthful, and complete information during registration.
  • Not have been previously removed or banned from the Kalam Volunteer Programme.
  • Be genuinely committed to contributing to the Foundation's mission of education and community development.
3 Volunteer Responsibilities

As a registered volunteer, you are expected to:

  • Attend assigned projects and activities with sincerity and punctuality.
  • Submit activity reports honestly and within the stipulated deadline.
  • Maintain respectful, professional, and inclusive conduct at all times.
  • Complete a minimum of 50 hours of verified activity per project to be eligible for a project completion certificate.
  • Notify your coordinator promptly if you are unable to fulfil an assignment.
  • Not misuse or share your portal credentials with any third party.
  • Uphold the values, reputation, and mission of Kalam Foundation in all interactions.
4 Application & Approval Process

Submission of the registration form does not guarantee acceptance as a volunteer. Kalam Foundation reserves the right to approve or reject any application at its sole discretion without being required to provide a reason. Approved volunteers will receive a confirmation email and gain access to the volunteer dashboard.

5 Certificates & Recognition

Project completion certificates are issued by Kalam Foundation upon successful completion of a project with a minimum of 50 approved hours. Certificates remain the intellectual property of Kalam Foundation and are issued solely for personal, non-commercial use. Any fraudulent activity to obtain a certificate will result in immediate termination of membership and may be reported to relevant authorities.

6 Termination of Volunteer Status

Kalam Foundation reserves the right to suspend or permanently remove a volunteer from the programme for reasons including, but not limited to:

  • Submission of false or misleading information.
  • Misconduct, harassment, or disrespectful behaviour.
  • Repeated failure to fulfil assigned responsibilities without notice.
  • Any action that damages the reputation or interests of Kalam Foundation.
7 Limitation of Liability

Kalam Foundation shall not be liable for any direct, indirect, or consequential damages arising from your participation as a volunteer, use of this portal, or reliance on any information provided herein. Volunteer activities are undertaken at your own discretion and risk.

8 Amendments

Kalam Foundation reserves the right to modify these Terms & Conditions at any time. Continued use of the portal following any changes constitutes acceptance of the revised terms. We encourage volunteers to review this page periodically.

Privacy Policy

How Kalam Foundation collects, uses, and protects your personal data

1 Information We Collect

When you register on the Kalam Volunteer Portal, we collect the following personal information:

  • Identity data: Full name, date of birth, gender, and nationality.
  • Contact data: Email address, phone number, and residential address.
  • Account data: Username and encrypted password.
  • Activity data: Reports submitted, hours logged, projects assigned, and certificates issued.
  • Technical data: IP address and session information collected automatically during portal use.
2 How We Use Your Information

Your information is used solely for the purpose of managing your volunteer participation. Specifically, we use it to:

  • Process and review your volunteer application.
  • Assign you to suitable projects and activities.
  • Track and verify your volunteering hours and reports.
  • Issue certificates and recognition upon eligibility.
  • Send important announcements, updates, and notifications via email.
  • Improve the portal and programme based on usage patterns.
3 Data Sharing & Disclosure

Kalam Foundation does not sell, rent, or trade your personal information to any third parties. Your data may be shared only in the following limited circumstances:

  • With programme coordinators and administrators who manage volunteer activities.
  • When required by law or legal process.
  • To protect the rights, safety, or property of Kalam Foundation or others.
4 Data Security

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, or misuse. Passwords are stored in encrypted form and are never accessible in plain text. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

5 Data Retention

Your data is retained for as long as your volunteer account remains active or as needed to fulfil the purposes described in this policy. If you wish to have your data deleted, please contact us at the email below. Note that certain records (such as certificate issuance logs) may be retained for administrative purposes even after account deletion.

6 Your Rights

You have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Request deletion of your account and associated personal data.
  • Withdraw consent for non-essential communications at any time.
